14-day free trial
Every TravoPilot paid plan (Explorer, Pilot and Business) includes a 14-day free trial at the start of your subscription. During the trial you have full access to all features included in your chosen plan.
- No credit card required to start an Explorer trial.
- Pilot and Business trials may require payment details at onboarding; your card is not charged until the trial ends.
- If you cancel during the trial period, you will not be charged.
- If you do nothing at the end of the trial, your subscription activates and your first billing cycle begins.
Monthly subscriptions
Monthly plans are billed in advance at the start of each calendar month.
- Cancellation: You may cancel your monthly subscription at any time by contacting us (see below). Cancellation takes effect at the end of the current billing period. You will not be charged for subsequent months.
- Refunds: Monthly subscription fees are non-refundable for the current billing period. We do not offer pro-rated refunds for partial months on monthly plans.
- Downgrades: Downgrading from a higher plan to a lower plan takes effect at the next billing cycle. No refund is issued for the difference in the current period.
We recommend starting with the free trial and selecting the plan that best fits your current volume before committing to a monthly subscription.
Annual subscriptions
Annual plans are billed as a single payment covering twelve months, at a 20% discount versus the monthly rate.
- Cancellation within 30 days: If you cancel an annual plan within 30 days of your payment date, you are eligible for a pro-rated refund covering the unused months (months 2–12), minus any usage overages incurred.
- Cancellation after 30 days: Annual payments are non-refundable after 30 days from the payment date. However, your access continues for the full 12-month term you have paid for.
- Non-renewal: If you do not wish to renew, notify us at least 7 days before your renewal date. We will not charge your card for the following year.
Usage overages
Overages (AI conversations above your plan’s monthly limit) are billed at the end of each billing period and are non-refundable once consumed, regardless of plan type. Your dashboard shows real-time usage so you can monitor and manage consumption.
Service credits for downtime
If TravoPilot fails to meet the uptime SLA for your plan in a given month, you may be entitled to service credits as described in the applicable plan documentation. Service credits are applied to future invoices and are not paid out as cash refunds.
Exceptions
Notwithstanding the above, we will consider refund requests outside these terms in the following situations:
- You were charged twice for the same billing period (duplicate charge).
- A technical error on our side prevented you from accessing the Service for the majority of a billing period and the issue was not remedied.
- You were charged after you had validly cancelled your subscription.
To raise an exception, email us within 14 days of the charge at contact@travopilot.com with your account details and a description of the issue.
How to cancel or request a refund
To cancel your subscription or request a refund, contact us by email:
- Email: contact@travopilot.com
- Subject line: “Cancellation request” or “Refund request”
- Include: your account email address and the reason for your request.
We will acknowledge your request within one business day and process eligible refunds within 7 business days. Refunds are returned to the original payment method.
What happens to your data on cancellation
When your subscription ends (whether through cancellation or non-renewal), your account enters a 30-day grace period during which you can export your data. After 30 days, your Customer Data is permanently deleted from our systems in accordance with our Privacy Policy.
Changes to this policy
We may update this Refund Policy from time to time. Changes will be communicated via email or a notice on our website at least 14 days before taking effect. The policy in force at the time of your payment governs that transaction.
