1. Acceptance of terms

By accessing travopilot.com or using the TravoPilot platform (the “Service”), you (“Customer” or “you”) agree to these Terms & Conditions (“Terms”) and our Privacy Policy. If you are entering into these Terms on behalf of a business, you represent that you have authority to bind that business.

If you do not agree to these Terms, do not access or use the Service.

2. The Service

TravoPilot is a B2B AI platform that travel businesses integrate to provide AI self-service for their customers, a copilot for their agents, and automation for their operations. The Service includes:

• An embeddable, white-label AI assistant for customer self-service (Explorer, Pilot and Business plans).
• An agent copilot for human travel agents (Pilot and Business plans).
• Operations automation (Pilot and Business plans).
• Analytics and reporting dashboard (all plans).
• REST API access (Pilot and Business plans).

The specific features available depend on the subscription plan you select. We may modify, update or discontinue features of the Service at any time, and will provide reasonable notice of material changes.

3. Accounts and access

3.1 Account registration

To use the Service you must submit a demo request and, following onboarding, be provided with account credentials by TravoPilot. You are responsible for maintaining the confidentiality of your credentials and for all activity under your account.

3.2 Authorised users

You may grant access to authorised users (your employees or contractors) up to the number of agent seats included in your plan. You are responsible for their compliance with these Terms.

3.3 Account security

You must notify us immediately at contact@travopilot.com if you suspect any unauthorised access to your account.

4. Subscription plans and payment

The Service is provided on a subscription basis. Details of the plans and their pricing are set out on our Pricing page. By subscribing you agree to pay the applicable fees on the schedule described.

• Monthly plans are billed in advance each calendar month.
• Annual plans are billed in advance as a single payment covering twelve months.
• Usage overages above your plan’s conversation limit are billed at the end of each billing period.

We reserve the right to change plan pricing with at least 30 days’ notice. If you do not accept a price change, you may cancel before the change takes effect.

5. Acceptable use

You agree to use the Service only for lawful business purposes and in accordance with these Terms. You must not:

• Use the Service to transmit any content that is unlawful, harmful, fraudulent or discriminatory.
• Attempt to reverse-engineer, decompile or extract the underlying AI models or source code of the Service.
• Resell or sublicense the Service to third parties without our express written consent.
• Use the Service to train competing AI models or products.
• Interfere with or disrupt the integrity or performance of the Service or its infrastructure.
• Attempt to gain unauthorised access to any part of the Service or its related systems.
• Use automated means (bots, scrapers) to access the Service beyond what is expressly permitted by the API documentation.

We reserve the right to suspend or terminate accounts that violate this policy.

6. Customer data

6.1 Ownership

You retain all rights, title and interest in the data you and your end users submit through the Service (“Customer Data”).

6.2 Licence to process

You grant TravoPilot a limited licence to process Customer Data solely to provide the Service to you, and for no other purpose.

6.3 No training on customer data

We do not use your Customer Data to train or improve our AI models for use by other customers. Your data is isolated to your tenant.

6.4 Data security

We implement industry-standard technical and organisational measures to protect Customer Data, including encryption at rest and in transit, role-based access control and audit logging. We are SOC 2 compliant.

7. Intellectual property

7.1 TravoPilot IP

TravoPilot and its licensors own all rights, title and interest in the Service, including its underlying AI models, software, algorithms, documentation and brand assets. These Terms do not grant you any intellectual property rights in the Service beyond the limited right to use it as set out here.

7.2 Feedback

If you provide suggestions, ideas or feedback about the Service, you grant us a perpetual, royalty-free licence to use that feedback without restriction or compensation to you.

7.3 White-label

Business plan customers may deploy the Service under their own brand. TravoPilot makes no claim to any branding you apply. You must not misrepresent yourself as TravoPilot or imply affiliation beyond what is factually true.

8. Availability and SLA

We target the uptime levels described on our Pricing page for each plan tier. Scheduled maintenance, force majeure events and factors outside our control (including your own infrastructure or third-party integrations) are excluded from SLA calculations. Our sole obligation for SLA failures is to issue service credits as described in the applicable plan documentation.

9. Disclaimers

The Service is provided “as is” and “as available”. To the fullest extent permitted by applicable law, TravoPilot disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose and non-infringement. We do not warrant that the Service will be error-free, uninterrupted or that it will meet your specific requirements.

AI-generated outputs may occasionally be inaccurate. You are responsible for reviewing any AI-generated content before acting on it, particularly in contexts involving booking changes, refunds or customer-facing communications.

10. Limitation of liability

To the maximum extent permitted by law, TravoPilot’s total liability to you for any claim arising out of or related to these Terms or the Service shall not exceed the total fees paid by you in the 12 months preceding the event giving rise to the claim.

In no event shall TravoPilot be liable for any indirect, incidental, special, consequential or punitive damages, including loss of profits, loss of data or business interruption, even if we have been advised of the possibility of such damages.

11. Indemnification

You agree to indemnify, defend and hold harmless TravoPilot and its officers, directors, employees and agents from and against any claims, damages, losses and expenses (including reasonable legal fees) arising from: (a) your use of the Service in violation of these Terms; (b) your Customer Data; or (c) your violation of any applicable law or third-party rights.

12. Term and termination

These Terms remain in force for the duration of your subscription. Either party may terminate for material breach that is not remedied within 30 days of written notice. Upon termination: (a) all rights granted to you cease; (b) you must stop using the Service; (c) we will make your Customer Data available for export for 30 days before deletion. 13. Governing law and disputes

These Terms are governed by applicable law. For enterprise contracts, the governing jurisdiction is agreed in the applicable order form. For standard subscriptions, disputes shall first be addressed through good-faith negotiation; if unresolved within 60 days, either party may pursue binding arbitration or litigation in the competent courts of the jurisdiction where TravoPilot operates.

14. Changes to these Terms

We may update these Terms from time to time. We will provide at least 14 days’ notice of material changes via email or a notice on our website. Your continued use of the Service after that notice period constitutes acceptance of the revised Terms.
